Primary Functions
Position will provide necessary support for the administrative functions of the Counseling and Psychological Services (CAPS) office, and is responsible for greeting clients, scheduling appointments, processing client charts, and answering and directing phone inquiries. Duties include, but are not limited to: interacting effectively, empathetically, and compassionately with students, faculty, staff, and public when seeking counseling and mental health services and information; assuring privacy and confidentiality in accordance with departmental policies and processes, state and federal statutes, including HIPPA and FERPA; scheduling appointments and disseminating information in regards to available services; working as a team with CAPS, Students Over Substance (SOS), medical office staff and other Curry Health Center (CHC) departments; responding to administrative demands originating from CAPS staff members including room scheduling, photo copying, filing, mailing, etc.; coordinating immediate provider schedule changes; managing CAPS staff calendars; ordering of supplies; documenting interactions with clients and public in the medical record; following office procedures when adding notes and other information to the client health record.
Position will demonstrate: excellent customer service for primary client contact within a healthcare facility; working knowledge of medical/psychiatric terminology; willingness to be a friendly and helpful resource for students, coworkers, the university community, and the community at large; sound judgment according to office procedures in responding to the clients, staff, faculty and other needs; proficiency in the use of multi-line phone systems; excellent oral, written, and interpersonal communication skills; accuracy, attention to detail, and ability to work well in a team setting; working knowledge of other CHC services and functions; working knowledge of computer functions (Banner student records and Medicat, the electronic medical records software); skilled in the use of Microsoft Office programs, especially Word, Excel, and Outlook; understanding of the importance of accuracy in the use of computer applications; working knowledge of CHC and CAPS policies and procedures; working knowledge of department procurement processes for ordering supplies; knowledge of medical records, chart preparation and maintenance; basic understanding of health record format, processing, charting, transfer and storage.
Minimum Job Qualifications
High school graduation and two (2) years related work experience, or an equivalent combination of education and experience
Required Knowledge, Skills & Abilities
Demonstrated customer service experience with effective interpersonal, public relations, and communication skills, including the ability to work with a diverse population
Demonstrated knowledge of office reception, scheduling, transcription and mail handling
Ability to plan and schedule meetings and arrange logistics for meetings
Skill in the operation of personal computers, related word processing (Word, Outlook, Excel), and spreadsheet and database software with the ability to learn other software (Banner)
Ability to operate standard office equipment: printers, copiers, fax machine, multi-line phone system
Organizational skills and ability to manage multiple priorities in a busy environment

Must be able to: perform repetitive transitions from sitting and standing positions, bending, and typing; lifting up to 10#; manual dexterity for sorting purposes.
